CORRECTION TO THE RFP DOCUMENT

Request for Proposal: Copier and Multifunction Printer Lease

Proposals will be opened at the above stated time and place; however, no commitment will be made at that time. All proposals will be evaluated for pricing, specifications, and other pertinent information. Any nonconforming or incomplete proposals may be rejected. Vendors must comply with the instructions contained in the proposal package. It shall be the full responsibility of all Vendors to ensure that proposals are delivered via email to krislindquist@antiochschools.net. The Antioch Unified School District will not be responsible for late deliveries by U.S. mail or any other means.

General

Q: In the RFP it states that all copiers shall have the capability to print b/w and color. When looking at the current machines, there are a few b/w only machines. My question is, are you looking to replace those b/w machines with a color machine, or do you want to replace those with b/w only machines?

A: Please quote color machines for all locations with the option to switch to b/w machines. Most new machines will be color.

Q: In the RFP is states that all copiers' rates are at a speed of 50 ppm or faster. My question is, do you want the current machines that are slower than 50 ppm to be replaced with the same speeds as they currently are?

A: Yes, all machines should be replaced with 50 ppm capable machines.

Q: In the RFP it states that all copiers shall be compatible with Papercut. My questions is, are you requesting a quote for Papercut, or will you be handling that separately?

A: A quote for Papercut itself is not required, although a vendor who can support and quote directly is preferred. Papercut is already deployed in the environment on two test devices, but support has lapsed on the server software.

Q: Some manufacturers require a 20-amp outlet for their machines that are above 50ppm. Do you know if you have 20-amp outlets at all your locations and if not, are you entertaining the idea of copiers below 50ppm?

A: Where needed the district will install 20-amp circuits/outlets for new copiers.

Q: Do you want catalog pricing for models 50 ppm and above that we are submitting with the general features required? 

A: Yes, if available please include catalog pricing for models 50ppm and above.

Q: 46 of current fleet is B/W or Color operates at a speed higher than 50 ppm and the other 53 are below 50 ppm?  Goal to have all units the same throughout the district?

A: The goal is to meet a minimum of 50 ppm throughout the district.

Q: There are no color volumes on a total monthly volume?  Is there additional information to be shared?

A: There is no additional information.

Q: Is there a pricing format the district requires?

A: There is no pricing format

Q: How do we schedule an assessment time?

A: We are not scheduling an assessment time.

Q: In the RFP it states that all copiers shall be compatible with Papercut. My questions is, are you requesting a quote for Papercut, or will you be handling that separately?

A: A quote for Papercut itself is not required, although a vendor who can support and quote directly is preferred. Papercut is already deployed in the environment on two test devices, but support has lapsed on the server software (the district has 97 licenses currently but no support).

Q: Do all copiers have 11x17 capabilities? Is that the case for the small desktop MDF's as well?

A: No, the smaller desktop printer do not need to print anything except 8 1/2 X 11.

Q: Certain copiers shall be capable of faxing, but do all copiers must have a fax card.

A: No, they do not need a fax card or fax capability. They do need to be able to scan, copy and print.

Q: All copiers shall have the ability to print b/w and color; is the districts intention to replace the 30 existing b/w devices.

A: Our intention is to replace all the leased copiers. As far as the smaller desktop printers we are not planning on replacing existing units unless there is an issue.

Regarding District Print Shop Machines

Q: Your current black and white machines are 120 ppm and your color is 80 ppm. Do all of your new machines need to be 120 ppm or just the black and white?

A: The black and white machines need at least to be 120 ppm.  The color machine is just the right speed. 80 ppm is fine unless you have a faster version.

Q: What is the required speed of your new color machine?  

A: 80 ppm is fine with us

Q: Do all requirements and accessories need to be on black and white as well as color equipment?

  1. Run NCR paper Both black and white and color machine

  2. Corner, double, saddle stitch stapling Both black and white and color machine

  3. 2 & 3 Hole punch Both black and white and color machine

  4. Bypass tray color machine

  5. Letterfold and Z fold Both black and white and color machine

  6. Booklet stitching with folding and trimming Both black and white (with trim) and color machine (no trim)

Q: Do you require booklet trimming on the face and top and bottom of booklets or just the face?

A: Just the face

Q: Is booklet trimming required on black and white devices as well as color?  

A: Just black and white

Q: Do you require your new black and white devices to have print controllers like a Fiery controller?  

A: Yes

Q: Do you require your new color device to have a print controller like a Fiery controller?  

A: Yes

Q: When you refer to running “odd-size” media through the bypass tray, what is the largest size you intend to run?

A: 13 in x 51 in Banners and additional; can do envelope printing both black and white and color machine, at least 5 paper trays for  black and white and 3 paper tray for color machine; 1 paper tray for color machine can handle 13 x 19 300 gsm paper, Tray inserter for black and white machine that will not pass the fuser area to avoid color prints having dull brightness

Q: Do you need B/W and color printing or scanning for these specifications?

A: Yes, all the print shop machine we would like the ability to have them scan.
